Heartland Fund is seeking an Operations & Finance Coordinator to support operations and efficient financial management for our growing team. We are looking for a highly motivated, detail-oriented team member who is committed to rural people and places, and racial, climate, and economic justice. The successful candidate will be well-organized and highly productive, an excellent communicator, and able to manage multiple priorities and competing deadlines.

This is an exciting and dynamic position at a funder collaborative, with opportunities for rewarding collaboration and increased leadership. You will have an opportunity to help develop and implement operational systems that benefit a diverse range of partners. We are actively building a small but mighty team to enable historic, equitable investment and build power in rural and small town America.

This is a remote full-time position with a salary range of $60,000 to $75,000 and includes a generous benefits package.

About Heartland

The 501(c)(3) Heartland Fund is a growing funding collaborative with 200+ grantees building power toward a thriving democracy, healthy climate, and shared prosperity across diverse communities in rural areas and small cities. As a funding collaborative, we bring together resources from leading philanthropic organizations and individual donors to implement a coordinated strategy.

We support rural people to protect and expand democratic participation and create solutions to critical local and national issues. We invest in the tools rural leaders and organizations need to organize our friends and neighbors to action, and build diverse sustainable coalitions united by shared values and purpose. On top of grantmaking, we help bring rural folks together through conferences and peer learning, provide useful research and data, and support rural leaders to communicate powerfully about the issues that impact our lives.

Heartland Fund has three programs: 

  • Rural Democracy expands civic participation in rural places and counters narratives and policies that harm our democratic institutions. Heartland’s Rural Youth Voter Fund is a signature initiative of the Rural Democracy program.

  • Resource Rural focuses on effective federal funding implementation to ensure historic climate and infrastructure investments land for maximum impact in rural communities. 

  • Rural Climate Partnership supports hometowns across America to accelerate climate solutions and build healthy local economies.

Responsibilities 

The Operations & Finance Coordinator will report to the Deputy Director and collaborate with the Grants & Operations Managers to support the Heartland team and network. 

Team & Operations Support

  • Daily administrative and operational tasks such as:

    • Prioritizing, responding to and routing inquiries from websites. 

    • Scheduling support for the Leadership Team. Help maintain teamwide calendars. 

  • Provide planning, logistical, agenda, and notetaking support for in-person and virtual meetings and convenings for team and network partners.

  • Support the recruitment and onboarding of new staff, including technology, platforms, and calendaring. 

  • Coordinate work-related travel for the Leadership Team and group staff travel, including research on air travel, ground transportation, lodging, and meal reservations.

  • Help maintain data, software, platform tools, and processes that enable efficient and effective operations, collaborative work, and project and budget management: 

    • Manage and maintain shared drive. Includes filing press clips, photos & permissions, meeting notes, etc. 

    • Enter information and support regular data hygiene practices. 

  • Provide support for management of decision-making committees and bodies, including the planning and execution of in-person and virtual meetings and convenings, processing of honorariums and reimbursements, and scheduling. 

  • Support efforts to build team culture and connection in a virtual work environment. 

Financial & Contract Management Support

  • Collaborate with the Heartland Fund’s fiscal sponsor and Grants & Operations Managers to ensure accurate and timely: (1) execution of contracts and (2) payment of invoices, reimbursed expenses, and grant disbursements.

    • Support Grants & Operations Managers in collecting and reviewing vendor documents for contracts and payments.

    • Coordinate internal approvals for payment of contractors invoices and communicate with the fiscal sponsor account team to ensure timely payments.

Minimum 

  • Minimum of 1-3 years of professional experience. 

  • Excellent written and verbal communication skills. 

  • Strong organizational and project management skills and passionate attention to detail.

  • Commitment to racial justice and equity.

  • Strong technology skills and ability to quickly learn a range of communications platforms such as Airtable, Monday, Slack, and Google Apps.

Desired 

  • Experience in nonprofit and/or in a start-up environment.

  • Demonstrated experience working effectively with colleagues of diverse backgrounds and perspectives: 

  • Appreciation of the diverse cultural traditions of rural people and places.

  • Excellent customer service and interpersonal skills.

  • Comfort working with a range of individuals in nonprofit organizations, government, foundations, and private sectors.

  • Proven ability to independently develop project plans and work collaboratively with team members to implement projects and adapt as circumstances change. 

  • Experience living and/or working in rural America is strongly preferred.

Compensation & Job Design

This is a full-time, exempt position. The organization is virtual, and the position may work remotely from their home within the United States. Expected compensation will be based on skills and relevant experience, with a salary range of $60,000 to $75,000. 

The comprehensive benefits package includes 100% employer-paid health, dental, and vision insurance for employees (and their families). Employees are able to enroll in a 401k retirement plan and are eligible for a 3% automatic contribution and up to a 3% employer match on 401k contributions. Employees are also eligible for pre-tax transportation benefits. Full-time employees will receive 120 hours of vacation time, 80 hours of health leave, up to 2 days of casual leave, and 20 hours of volunteer leave annually. Employees will also receive 13 paid holidays throughout the calendar year. Employees are eligible for 12 weeks of paid family and medical leave after 90 days of employment. All employees of Windward are required to complete timesheets.

The individual holding this position will also work part-time for a coordinated project, Rural Victory Fund, in Sixteen Thirty Fund, a 501(c)(4) organization, under a resource-sharing agreement between Windward Fund and Sixteen Thirty Fund. The responsibilities under that position will be overseen by Sixteen Thirty Fund.
